Private Vendors
Pitt County Schools Transportation contracts with private transportation vendors in a limited capacity to provide transportation for students with exceptional circumstances who cannot be accommodated by the school bus system.
Private transportation vendors interested in being contracted with Pitt County Schools Transportation for the 2025-2026 school year need to submit proposals to the transportation director by 5 p.m. (ET) April 30, 2025.
The proposal needs to include the following items:
- W-9
- Proof of insurance (must meet Federal Motor Carrier Safety Administration Insurance Requirement: Title 49/Subtitle B/Chapter III/Subchapter B/Part 387/Subpart B-Motor Carriers of Passengers)
- Billing
- Rate per mile
- Coast per trip
- Additional staff costs (i.e. safety monitor)
- List of vehicles the company has to contract (all vehicles must meet Federal Motor Vehicle Safety Standards). The vehicle list should include the following:
- Vehicle Number
- Vehicle Type
- Make
- Model
- Year
- Vehicle Maximum # of Passengers
- Vehicle Company’s Recommended # for Transporting Students with Special Needs
- Special Vehicle Features
- Special Vehicle Additional Billing
Here is a sample spreadsheet of the List of Vehicles.
All vehicles should have at least the following displayed on its body:
- Company Name
- Company Phone #
- Vehicle #
Private transportation vendors should also be aware that any motor vehicle designed or used to carry more than 10 persons, 11 including the driver, to and from school is classified as a school bus (Title 49/Subtitle B/Chapter III/Subchapter B/Part 390/Subpart A-Section 390.5).Private transportation vendors must meet all other Federal and North Carolina laws and regulations.
